As the Facilities Specialist, plans, organizes, delivers and supports all facilities, admin, security and business continuity services to Remitly and ensures the efficient and effective provision of these services. The Facilities Coordinator has accountability for the Remitly premises and site needs in the Philippines inclusive of security of premises, maintenance, business continuity practices and enhancement of all properties to the agreed organizational standards.

Job Qualifications;

  • Bachelor's degree required
  • Minimum three years facilities or related experience
  • Proficiency in MS Office and/or Google Suite required
  • Excellent English language skills, verbal and written required
  • Must be willing to work different shifts as required, which could include weekend, holidays and nights
  • Demonstrated project management experience an advantage but not required
Job Description;
  • Protects and maintains the confidentiality of vendor and employee information handled, received or visible during the course of work.
  • Identifies, repairs and/or coordinates facilities and related repairs, which may include directing external vendors.
  • Acts as liason between Remitly team and external vendors on all day-to-day needs, feedback and concerns.
  • Assists the Facilities Manager with managing and directing, as well as monitoring and driving vendor performance. This includes but is not limited to vendors such as security, housekeeping, building management, etc.
  • Handles CCTV requests from Human Resources Team.
  • Manages, assigns and resolves incoming and ongoing facilities-related requests, trouble tickets and inquires via Remitly's ticket tool (e.g JIRA). Uses as inputs for process, procedure, performs, and cost inputs.
  • Conducts the following during New Hire Orientation (NHO): Facilities Tour
  • Issuance of locker key, Company ID and Access Badge, and other facilities related onboarding tasks.
  • Performs the facilitates offboarding process for terminating employees.
  • Creates, publishes or otherwise delivers needed facilities and BCP related communications as appropriate
  • Prepares weekly or monthly facilities related reports.
  • Proposes and creates new tracking and reports as appropriate for facilities operational, safety, employee experience and other related purpose.
  • Acts as a point of contact (POC) to all Remitly employees related to facilities administration.
  • Conducts regular check up of Remitly space, ensuring that the office is well-maintained and in accordance with established standards and applicable regulations.
  • Performs regular inventory and audit of facilites supplies.
  • Ensures a safe and healthful workplace both directly and in coopeartaion with Human Resources and other internal and external resources, meeting all applicable OSH, DOLE and Republic Act 11058 requirements and standards.
  • Ensures timely renewal of Business Permit including but not limited to Fire, Sanitary, Barnagay and other permits as needed.
  • Supports the Facilities Manager and Employees during Business Continuity Plan (BCP) Events
  • Ensures employees' copliance to facilities policies and house rules.
  • Assists departments with administrative and various projects as needed (e.g. sourcing/procurement)
  • Assists Remitly employees visiting from other sites with planning and securing lodging, transportation and other related logistics for their travel. Works with lodging, transportation and other vendors to ensure appropriate, quality, reliable and cost-effective travel-related services.
  • Performs day to day facilities administrative tasks as required.
